Invoicing with Numbers

If you’re not using an accounting package, and your business is a Service, then you might be able to use Numbers’ Invoice Template.  This is not a replacement for a full-featured accounting package, but it might get you through.  After the break Using the Template to do business.

One of the first things to do is to alter the template to make it do what we want.  As a service contractor I don’t usually work with a PO Number.  Your business maybe different.  In the Signature block I would put down the address where I expect payment to be sent.  If you had a logo you could embed that graphic towards the top.

Once you had all the information and customization done, then you would need to save it as a template.  To generate an invoice you would simply make a new invoice file from the template.

There is one more thing that you will need, and that is some kind of list that shows when the Invoice was generated and when it was paid.  This way you can see what Invoices you need to nag about, and what invoices have already been paid.  You could do that in Numbers, or you could use Bento, or FileMaker Pro.  Although, if you have Filemaker Pro you have access to their collection of business templates and so could use Filemaker Pro for your accounting package.

Remember that this is no substitute for a true accounting package, but it will get you on your way if you bill by invoice for your work.
